Maker & Seller Privacy Notice

Who this is for

This notice is for makers who sell on The Haud, and for anyone who applies to. It explains what personal information we collect about you, why, and what your rights are. Our general Privacy Policy covers everyone who uses the site; this notice covers the extra things that come with working together.

The data controller is The Haud Ltd, a company registered in England and Wales (Company No. 15779673), registered office 71-75 Shelton Street, Covent Garden, London WC2H 9JQ. We are registered with the Information Commissioner's Office (registration number ZC102511). You can reach us any time at hello@thehaud.com.

Your application

When you apply to sell on The Haud, we collect your name, business name, craft type, website or social links, and anything else you tell us in your application. We use this to review your application and, if you join, to set up your shop. We keep applications for up to 2 years whether successful or not.

Calls and conversations

Getting your story right is most of the job, so we keep a record of our conversations with you.

When we have an onboarding or catch-up call, we take notes and transcripts using Granola, an AI note-taking tool. When you use our voice assistant to build your shop, the conversation runs on ElevenLabs (the voice) and Anthropic's Claude (the conversation), and is saved and transcribed. Voice memos you record are transcribed using OpenAI's Whisper.

We keep these notes and transcripts to build your page from what you actually told us, to keep improving it, and to keep improving the service itself. None of these AI providers use your data to train their models, under our agreements with them.

Notes about working together

We also keep our own working notes about the relationship: things like how much you can make and when, editorial ideas for featuring your work, and context around your pricing. These are notes that help us represent you well, sell your work properly, and not ask you the same question twice. If you ever want to see what we hold, just ask.

Identity verification

To pay you, we use Stripe Connect. Stripe verifies your identity to meet its legal know-your-customer obligations, and for that verification Stripe is the data controller. Their privacy policy is at stripe.com/gb/privacy. We see the outcome of verification, not your identity documents.

Payouts and sales records

We keep records of your sales, payouts and fees for 7 years, to meet HMRC record-keeping requirements. That one isn't optional for either of us.

Content moderation and automated decisions

Listings, photos, reviews and shop profiles are checked automatically for content safety, using a wordlist and Anthropic's Claude. Most of the time you will never notice it. If the system blocks something of yours and you think it got it wrong, contact us and a person on the team will review the decision. You always have the right to a human review of any automated decision that affects you.

Where your information goes

We use the same service providers described in our Privacy Policy: Vercel and Neon (hosting and our London-based database), Stripe, Resend and Mailchimp, the AI services above, ShipStation and Zonos for delivery, Mapbox for the maps on your maker page, Cal.com for booking calls, Slack for our internal alerts, Sentry for error logs, and Upstash for site protection.

Some of these providers are based in the United States. Where we send personal data to them, it is safeguarded by the UK Extension to the EU-US Data Privacy Framework where the provider is certified, and by international data transfer agreements or standard contractual clauses otherwise. Your payment and sales data at rest stays in the UK.

How long we keep it

While you sell with The Haud, we keep what we need to work together well: your shop and listings, call notes and transcripts, and our working notes. When you leave, we delete what we no longer need and keep only what the law requires, principally the 7-year financial records.

Your rights

Under UK GDPR, you have the right to access the personal data we hold about you, correct any inaccurate data, erase your data in certain circumstances, restrict how we process your data, object to processing based on legitimate interests, receive your data in a structured machine-readable format, withdraw consent at any time where we rely on consent, and ask for human review of any automated decision.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk.

Changes to this notice

We may update this notice from time to time. When we do, we will update the date at the top of this page.
